Building Audit-Ready Remote Finance Operations for Canadian Nonprofits

Zivo Financial Services Inc.
Zivo Financial Services Inc.

At Zivo Financial Services, I manage full-cycle bookkeeping and financial reporting for Canadian nonprofit organisations and charities entirely remotely from Nairobi. I handle payroll administration, GST/HST filings and T4/T4A reporting, alongside property and provincial tax compliance for nonprofit clients. Month-end closure, reconciliations and financial reviews run on a fixed cadence, backed by finance SOPs I helped standardise to improve consistency and audit readiness. Clients get a finance function that behaves like an in-house team without the overhead of one.

Context

Canadian nonprofits and charities need accurate, compliant financial records to satisfy both statutory requirements and donor expectations, often without the budget for a full in-house finance department.

The Challenge

Remote delivery across a border adds a layer of complexity that in-house finance teams do not face, from time zone gaps to jurisdiction-specific filing rules. There is no room for error when a nonprofit's donor funding depends on clean, compliant books.

Strategic Approach

How the Work Got Done

1

Foundation

I set up full-cycle bookkeeping and reporting workflows for each client using cloud-based systems, including QuickBooks Online and Syft Analytics.

2

Compliance cadence

I built a recurring cycle for GST/HST filings, payroll deductions, T4/T4A preparation and provincial tax compliance.

3

Standardisation

I strengthened finance SOPs and internal controls across client accounts, improving consistency and audit readiness without adding headcount.

Qualitative Achievements

Beyond the Numbers

Delivered GST/HST filings, T4/T4A reporting and provincial tax compliance on a recurring monthly cycle for Canadian nonprofit clients.
Standardised finance SOPs and internal controls across client accounts, improving documentation consistency and audit readiness.
Ran month-end closure, reconciliations and financial reporting entirely through remote, cloud-based workflows using QuickBooks Online and Syft Analytics.
Gave nonprofit clients audit-ready books without the cost of an in-house finance team.
Built trust with distributed client teams through consistent virtual workflows and clear reporting.
Proved that cross-border remote delivery can match in-house responsiveness for statutory compliance.
Nonprofits do not need a finance department on payroll, they need a finance partner who treats their compliance calendar as seriously as their own.

This ongoing work is the clearest evidence that my cross-border compliance experience translates directly into freelance client delivery. It is also the model every new bookkeeping or compliance engagement I take on is built from.
